Understanding your leads

4 min read · Updated 2 September 2026

Anyone your automations capture — through lead questions, a booking, a waitlist sign-up, or a giveaway entry — shows up in one place: your Leads list. Here's how to read it and use it day to day.

Table or board — your choice

Switch between a Table (every lead as a row, sortable and filterable by account or automation) and a Board (a Kanban view you drag cards across). Both show exactly the same leads. The Leads table view showing captured leads across several stages, each with its source automation and tags

Moving a lead through stages

Every lead sits in one of six stages: New → Contacted → Qualified → Negotiating → Converted / Closed. Move a lead between any of these yourself, any time — Zaptium never moves a lead's stage on its own after it's created.

Opening a lead

Click any lead to see everything it captured — which automation brought it in, when, any answers it gave — plus a place to add tags (up to 20 per lead) and notes, and a running activity history of every stage change. A lead's detail panel showing its stage, tags, notes field and activity timeline

Consent shown on a lead reflects whatever the person has done since — including if they later withdrew it through their own data page. If someone completes the same automation twice, you'll get two separate lead cards, not one merged record.

Exporting to a spreadsheet

Use the export action to download whatever's currently filtered as a CSV file — handy for importing into another tool or sharing with a teammate. Exports are capped at 10,000 leads at a time.
